Notification Settings
OzyOps can send real-time notifications to your staff when important events happen, so your team can respond quickly without constantly watching the dashboard.
What Triggers Notifications
The following events can send notifications:
| Event | What Happens | Urgency |
|---|---|---|
| Emergency call | A caller reports an urgent situation | Immediate |
| Prescription refill request | A patient requests a medication refill (healthcare) | High |
| New inquiry | A general inquiry that needs staff attention | Normal |
| Appointment booked | The AI successfully booked an appointment | Informational |
| New lead in pipeline | A quote or lead enters the pipeline | Normal |
Adding Notification Recipients
- Go to Settings > Notifications.
- Click Add Recipient.
- Enter the person's name and phone number.
- Select which notification types they should receive (emergencies, prescriptions, inquiries, appointments).
- Click Save.
You can add multiple recipients. Each recipient can receive different notification types based on their role.
Your office manager might need all notification types, while your on-call tech only needs emergency alerts. Tailoring notifications prevents alert fatigue.
How Notifications Are Delivered
Notifications are sent via SMS to the phone numbers you configure. Each recipient receives a separate text message for each event.
Each notification SMS sent to each recipient counts against your monthly SMS limit. If you have 3 staff members receiving emergency alerts, one emergency call uses 3 SMS from your allotment.
Example: 5 emergencies per month with 3 recipients = 15 SMS used for notifications alone.
To manage usage, only enable notification types that each staff member truly needs.
Managing Notification Volume
If notification SMS is consuming too much of your allotment:
- Reduce recipients -- Only essential staff should receive each type.
- Narrow notification types -- Front desk does not need prescription alerts. The on-call tech does not need general inquiries.
- Check the dashboard instead -- For non-urgent items, checking the dashboard once or twice per day may be sufficient.
- Upgrade your plan -- Higher tiers include more SMS. The jump from Starter (1,000 SMS) to Essential (5,000 SMS) gives significant headroom.
Removing or Editing Recipients
- Go to Settings > Notifications.
- Find the recipient you want to change.
- Click Edit to change their notification types, or Remove to delete them entirely.
- Save your changes.
Common Questions
Can I receive notifications by email instead of SMS? Emergency email notifications are sent automatically regardless of your SMS notification settings. For other notification types, SMS is currently the primary delivery method.
Will I get a notification for every single call? No. Notifications are only sent for the event types you configure (emergencies, prescriptions, inquiries, appointments). Routine calls that do not match these categories are logged in the dashboard but do not trigger notifications.
What if my phone number changes? Go to Settings > Notifications and update the phone number for your recipient entry.
Do notification SMS come from the same number as patient/client SMS? Yes. All OzyOps SMS messages come from the same verified business number.
