This template is provided to help OzyOps law firm clients disclose AI receptionist services to their clients. This is not an OzyOps contract -- it is a resource law firms can adapt for their own engagement letters.

Section to Include in Engagement Letters​

Technology-Assisted Intake Services​

[Law Firm Name] utilizes OzyOps, a third-party AI-powered receptionist service, to handle incoming calls, schedule consultations, and perform initial intake. This service uses the following technology providers:

Third-Party Technology Providers:

  • AI Conversation Platform: [Platform Name -- e.g., MyAI FrontDesk, Retell AI, or similar]
  • Telephony Services: [Telephony Provider -- e.g., Twilio, Vonage, or similar]

Important Considerations:

  1. Attorney-Client Privilege: Communications with our intake service are processed through these third-party technology providers. While we maintain strict confidentiality agreements with all providers, attorney-client privilege does not extend to these technology platforms.

  2. Confidential Information: During initial intake calls handled by the AI service, you should avoid sharing highly sensitive case details or privileged information until you speak directly with an attorney.

  3. Human Attorney Review: All intake information collected by the AI service is reviewed by a licensed attorney at [Law Firm Name]. You will be contacted by a human attorney to discuss your matter in detail.

  4. Consent: By proceeding with an intake call through our AI receptionist service, you acknowledge and consent to your communications being processed through these third-party technology providers.

  5. Alternative Contact Methods: If you prefer to speak directly with a human receptionist or attorney without AI assistance, please [specify alternative contact method -- e.g., "send an email to [email address]" or "request a callback at [phone number]"].

Data Security and Confidentiality:

All third-party providers used by OzyOps maintain strict data security protocols and have executed confidentiality agreements. Call recordings and transcripts are stored securely and are only accessible to authorized personnel at [Law Firm Name] and OzyOps.

  • Consult with your state bar ethics hotline if you have questions about AI intake services.
  • Some jurisdictions may require additional disclosures.

Best Practices​

  • Update the provider list whenever OzyOps changes underlying platforms.
  • Request quarterly confirmation from OzyOps of the current technology stack.
  • Maintain records of which clients consented to AI intake vs. human-only contact.

Sample Intake Greeting​

If you want the AI to disclose itself during calls, consider this template:

"Thank you for calling [Law Firm Name]. This is our AI intake assistant. I can help you schedule a consultation with one of our attorneys and gather some basic information about your case. Your call is being recorded and will be reviewed by a licensed attorney. If you prefer to speak with a human receptionist, please let me know. How can I help you today?"

This provides a transparent but professional introduction that sets proper expectations.

Keep this disclosure updated

Review this template quarterly or whenever OzyOps notifies you of technology provider changes. Keeping the disclosure current demonstrates good faith compliance with ethics rules.
