Setting Business Hours

Your AI receptionist needs to know when your business is open so it can give callers accurate information about availability and handle after-hours calls differently.

Where to Set Business Hours

Go to Settings > Agent > Business Hours in your dashboard.

Configuring Your Schedule

You will see a row for each day of the week (Monday through Sunday). For each day, you can:

  1. Set the opening time -- When your office opens (e.g., 8:00 AM).
  2. Set the closing time -- When your office closes (e.g., 5:00 PM).
  3. Mark the day as closed -- Toggle the day off if you are not open at all.

Apply to Weekdays Button

If your Monday through Friday schedule is the same, set Monday's hours first, then click Apply to Weekdays. This copies Monday's open and close times to Tuesday through Friday, saving you from entering the same times five times.

Saturday and Sunday are configured separately since most businesses have different weekend hours (or are closed).

Saving Your Hours

Click Save after making changes. The AI starts using the new hours on the next call.

How the AI Uses Business Hours

During Business Hours

When someone calls during your open hours, the AI:

  • Greets the caller normally.
  • Offers to book appointments, take messages, or transfer calls.
  • Knows staff are available for transfers if configured.

After Hours

When someone calls outside your open hours, the AI:

  • Adjusts its greeting to acknowledge it is after hours (e.g., "Thanks for calling Bright Smile Dental. We're currently closed...").
  • Still answers professionally and captures caller information.
  • Offers to take a message or add the caller to a callback list.
  • Handles emergencies normally -- emergency transfers work 24/7 regardless of business hours.

The AI does not simply hang up after hours. It still answers every call, qualifies the caller, and captures their information. The difference is in how it frames the conversation and what options it offers.

Common Questions

What timezone are the hours in? Business hours use the timezone you selected during onboarding. If you need to change your timezone, contact support@ozyops.com.

Do holidays need to be set manually? Currently, yes. If your office is closed on a holiday, set that day to "Closed" before the holiday and change it back afterward. Holiday scheduling automation is on our roadmap.

What if we have lunch breaks? The current system supports one open/close period per day. If you close for lunch, you have two options:

  • Leave the AI answering through lunch (it handles calls whether you are physically available or not).
  • Set your hours to exclude lunch and manually adjust. Most customers leave the AI running through lunch since it handles calls independently.

Can different team members have different hours? Business hours apply to the entire practice, not individual team members. The AI uses these hours to determine its greeting behavior and availability messaging.

What happens if I forget to update hours for a holiday? The AI will answer calls as if it is a normal business day. It will still handle everything professionally, but it may tell callers that staff are available when they are not. Setting the day to "Closed" prevents this.
