Monitoring Your Usage

OzyOps tracks your call minutes and SMS usage in real time so you always know where you stand. This guide explains how to monitor your usage and what happens when you approach your limits.

Checking Your Usage

Billing Page

Go to Settings > Billing in your dashboard. At the top of the page, you will see:

  • Minutes used -- A progress bar showing how many of your included minutes you have used this billing period.
  • Minutes remaining -- How many included minutes you have left.
  • SMS used -- How many SMS messages have been sent this period.
  • SMS remaining -- How many included SMS you have left.

The progress bars change color as you approach your limits:

  • Green -- Under 60% used. Plenty of headroom.
  • Yellow -- 60-80% used. Keep an eye on it.
  • Red -- Over 80% used. Consider upgrading or adjusting usage.

When you are approaching your limits, a banner appears at the top of your dashboard warning you about your usage level.

Usage Alerts

OzyOps sends email alerts automatically at two thresholds:

80% Alert

When you reach 80% of your included minutes, you receive an email notification:

"You have used 80% of your included minutes for this billing period. You have [X] minutes remaining."

This is an early warning to help you decide if you need to adjust your usage or upgrade your plan.

100% Alert

When you reach 100% of your included minutes, you receive another email:

"You have used all of your included minutes. Additional calls will be billed at [overage rate] per minute."

Your service does not stop

Going over your included minutes does not turn off your AI receptionist. Calls continue to be answered normally. You simply pay the overage rate for minutes beyond your included amount.

What Counts Toward Minutes

Each call is rounded up to the nearest minute.

Overage Rates

If you go over your included minutes or SMS, you pay the overage rate for the excess:

Overage charges are calculated at the end of your billing cycle and added to your next invoice.

Tips for Managing Usage

If you are consistently hitting your minute limit:

  • Upgrade to the next tier. The cost per minute drops as you move up, and you get more included minutes. Moving from Starter (500 min at $349) to Essential (1,200 min at $999) gives you 2.4x the minutes for 2.9x the price -- and you unlock SMS follow-ups, pipeline, and audit logs.
  • Review your AI's behavior. If calls are running long, your AI scripts may need tuning. Contact support for a call review.

If you are consistently hitting your SMS limit:

  • Reduce notification recipients. Each staff alert generates one SMS per recipient.
  • Disable unnecessary follow-up SMS. You can cancel Day 3/Day 7 follow-ups for specific leads.
  • Upgrade your plan. Essential includes 5,000 SMS vs. Starter's 1,000.

If you rarely hit your limits:

You are on the right plan. No action needed.

Common Questions

Where exactly is the usage bar? Go to Settings > Billing. The usage information is at the top of the page, above your invoices.

Are overages billed immediately? No. Overage charges are calculated at the end of your billing cycle and added to your next invoice.

Can I set a hard cap on overage spending? Not currently. The 80% and 100% email alerts give you advance warning. If you want to avoid overage entirely, upgrade to a plan with more included minutes.

Do minutes reset when I upgrade mid-cycle? No. Minutes used carry forward. If you have used 400 of 500 Starter minutes and upgrade to Essential (1,200 minutes), you now have 800 remaining for the rest of the billing period.
