Exporting Your Data
OzyOps provides several ways to export your call data, analytics, and account information.
Analytics CSV Export (Professional Plan)
Professional plan users can export analytics data as a CSV file:
- Go to Dashboard > Analytics.
- Set your desired date range using the date picker.
- Click the Export CSV button.
- A CSV file downloads to your computer.
What the Export Includes
The CSV export contains:
- Call date and time
- Caller name and phone number
- Call type (appointment, emergency, quote, prescription, general)
- Urgency level
- Call duration
- Call outcome
- Pipeline status (if applicable)
- Appointment details (if booked)
Opening the CSV
The exported file can be opened in:
- Microsoft Excel -- Double-click the file or use File > Open
- Google Sheets -- Upload to Google Drive and open with Sheets
- Numbers (Mac) -- Double-click the file
- Any spreadsheet application that supports CSV format
Requesting a Full Data Export
If you need a complete export of all your account data (calls, transcripts, pipeline entries, settings), send a request to support@ozyops.com with:
- Your business name
- The email address associated with your account
- What data you need (everything, or specific categories)
- The date range (or "all time")
We will prepare the export and send it to you within 5 business days.
CCPA Data Requests
If you are a California resident or your callers are California residents, you have the right to request a copy of personal information under the California Consumer Privacy Act (CCPA).
For Your Own Account Data
Email privacy@ozyops.com with:
- Subject: "CCPA Data Request"
- Your business name and account email
- Whether you want a copy of your data or deletion of your data
For Your Callers' Data
If a caller requests their personal data or deletion under CCPA:
- Verify the caller's identity (name and phone number).
- Forward the request to privacy@ozyops.com with:
- Subject: "CCPA Caller Data Request"
- The caller's name and phone number
- Whether they want a copy or deletion
- The approximate date of the call(s)
- We will process the request within 45 days as required by law.
Healthcare practices should direct patient data requests through their existing HIPAA processes. OzyOps will support these requests as your Business Associate. Contact support@ozyops.com for HIPAA-specific data requests.
Data Retention After Cancellation
If you cancel your subscription:
- Historical call data remains accessible for 30 days after cancellation.
- After 30 days, your data is deleted unless a legal hold or retention requirement applies.
- Request a full data export before cancellation if you want to keep your records.
Common Questions
Can I export data on the Starter or Essential plan? The CSV export button in Analytics is a Professional plan feature. However, any customer on any plan can request a full data export by emailing support@ozyops.com.
What format is the export in? The self-service export is in CSV format. Full data exports requested through support may include CSV files, JSON files, or both, depending on the data type.
Can I set up automatic recurring exports? Not currently. Automatic scheduled exports are on our roadmap. For now, you can manually export from the Analytics page whenever you need updated data.
Is exported data encrypted? The CSV download is a standard file. If you need encrypted delivery for compliance reasons, mention this in your export request to support and we will use a secure file transfer method.
